Marketing for wedding planners in Ibiza: filling your calendar without relying on word of mouth

Wedding banquet table with candles under the olive trees

Marketing for wedding planners in Ibiza starts with an awkward truth: your best sales tool is weddings you have already delivered, yet the couple looking for you cannot see them in person and is comparing you with other planners from another country. If your whole pipeline depends on venue referrals and past couples, a couple of changes on the island can leave you with a half-empty season.

This guide is a practical plan for planners and event agencies on the island, whether you grew up here or moved over from abroad: how to position yourself, what your website needs to do, how to set up Google when you have no office open to the public, and how to use the winter so next season arrives with dates already confirmed.

Pick a niche people grasp in ten seconds

Ibiza has plenty of wedding planners, and plenty of their websites say the same thing: "unique weddings", "every detail matters", "making dreams come true". To a couple comparing options from abroad, they all blur together. What makes you memorable is one concrete sentence about who you serve better than anyone else and how you work.

A few ways to narrow it down:

  • By wedding type: intimate weddings under 40 guests, full weekends with welcome drinks and a recovery lunch, multicultural celebrations with two ceremonies.
  • By market: British, Scandinavian or Middle Eastern couples, with their language and traditions taken care of.
  • By setting: rural fincas in the north, villas facing Es Vedrà in Sant Josep, weddings on a yacht or on Formentera.
  • By service: full planning, partial planning or on-the-day coordination.

This does not mean turning everything else down. It means your website, Instagram and ads speak to one particular person, and that person feels understood.

A website that sells and filters at the same time

For a planner, the website has two jobs: win over the right couples and gently put off the ones who are not a fit. Both save hours of calls. If a rebuild is on the cards, our page on web design in Ibiza explains how we approach service websites with call booking and qualifying forms.

  • One page per service (full, partial, coordination), stating what is included, what is not and how you charge: percentage, flat fee or a mix.
  • An indicative investment range for a typical wedding at your level of service. If that feels too exposed, at least publish your minimum fee.
  • Real weddings with context: guest numbers, venue, month, the challenge and how you solved it. With the couple's permission and credits for every supplier.
  • An enquiry form with qualifying questions: date, guests, country, total budget and whether they have a venue yet.
  • Built-in video-call booking that detects time zones, so you do not lose days to email ping-pong.

International couples arrive with very specific questions about logistics, weather and paperwork; our guide on attracting international couples to Ibiza weddings lists what to answer in each language.

Google Business Profile without a public office

Many planners work from home or meet couples at the venue itself. Google's guidelines for representing your business are clear: if you are a service-area business, you should hide your business address and keep one profile for your base with a designated service area. The help page on managing service areas adds that you can list up to 20 service areas and that the overall area should not extend beyond about two hours' driving time from where your business is based.

In practice, for a planner based in Ibiza:

  • Hide the address if couples do not visit you there.
  • Add the municipalities you cover as service areas: Ibiza Town, Sant Josep, Sant Antoni, Santa Eulària and Sant Joan.
  • Use your brand name only: Google does not allow taglines or service descriptions in the business name.
  • Upload photos from real weddings every few weeks and reply to every review, in the language it was written in.

Reviews are your most visible social proof. Ask for them within a fortnight of the wedding, while the glow lasts, with a direct link or an NFC review card handed over with your farewell gift.

Partnerships: venues, photographers and concierges

Many planners win bookings through referrals from other suppliers. That is not a weakness, it is a channel, and you can work it methodically rather than waiting for the phone to ring:

  • Fincas and hotels: prepare a one-page pack for each venue you use often, featuring your weddings there. Make recommending you effortless.
  • Photographers and videographers: share content with mutual credits and collaborative posts.
  • Villa agencies and concierge services: they may receive requests for celebrations they do not organise themselves and need someone trustworthy to pass them to.
  • International wedding blogs and magazines: submitting a beautifully shot real wedding puts you in front of couples in their home market and sometimes earns a link to your site.

On paid ads: Google works when someone is already searching for a planner with a date and a budget, so target by country and language and send traffic to the relevant service page, not the homepage. Meta performs better at re-engaging people who have already seen your site or videos. Either way, without real weddings and guide prices on the page, you will pay for visits that never enquire. A planner's calendar: what happens in winter

From May to October there is no time for marketing: you are at fincas, in kitchens and at the airport. Next season is won between November and April. If 2027 weddings are being decided now, your website and content need to be ready before couples start comparing.

  • November: gather photos, videos and reviews from the season and request permissions from couples.
  • December: rewrite your services page around your niche and indicative prices.
  • January: publish two or three full real-wedding stories and a practical guide.
  • February: review your Google profile, service areas and review replies.
  • March: meet the venues you work with most and refresh your one-page packs.
  • April: schedule May and June social content before the season kicks off.

Frequently asked questions

Does a wedding planner need a Google Business Profile if they work from home?

Yes, it is worth having. Google lets you set up a service-area business: you hide your address and list the areas you serve, up to 20. That way you appear when people search your brand or nearby services, and you build up reviews couples read before getting in touch.

Is it better to specialise or take every kind of wedding?

You can keep accepting a variety of weddings, but your marketing works better when it speaks to one type of couple. A clear niche, such as intimate weddings, a particular market or a style of venue, makes you memorable and makes it easier for other suppliers to refer the right jobs to you.

When should an Ibiza wedding planner invest in marketing?

Mainly between November and April, when you have time to produce content, rework the website and meet venues. During the season, focus on collecting footage and reviews. If you run paid campaigns, concentrate them in the months your own data shows the most enquiries arriving.
